How the status and action are decided
Status — each line is checked in this order:
1. Cancelled: the row is coloured red in Excel, or PO Type says "Cancel order". Left out of all totals unless "Include cancelled" is ticked.
2. Received: only when the file has a receipt column (for example "Received Date", "GRN Date", "Plant Receipt Date") with a date for that line. The dashboard never assumes material is received.
3. In Transit: all rolls are dispatched (SRF Actual Dispatch / No. roll dispatched) but receipt is not confirmed. A line stays In Transit until a receipt is recorded — however many days have passed.
4. Not fully dispatched — judged by Required By Date: Overdue (date passed), Due ≤ 7 Days, Due 8–15 Days, Future (more than 15 days). If the cell says "URGENT" instead of a date: Urgent / Date Not Available. If it is blank: Required Date Missing.
Dispatch tracking: only SRF dispatches are recorded in the tracker ("SRF Actual Dispatch"). For other suppliers (SANHREA, ENKA, Bekaert, etc.) dispatch is unknown, so a past required date shows Tracking Data Not Available, not Overdue. These suppliers are left out of all delay percentages.
Partly dispatched SRF lines: the dispatched rolls count as in transit; the pending rolls decide the status.
Pending MT = pending rolls × (Weight (kg) ÷ No. Rolls) ÷ 1000. Negative "Pending from SRF" (extra rolls dispatched) is treated as 0 and listed under Data Quality.
Action Required — when several apply, the first in this list is shown: 1. 🔴 PO Not Placed → 2. 🟣 Data Error – Dispatch > Order (SRF rolls dispatched more than rolls ordered; pending counted as 0) → 3. 🔴 Follow Up With Supplier (overdue, tracked) → 4. 🟠 Confirm Dispatch (due within 7 days or URGENT, balance not dispatched) → 5. 🟠 Confirm Transit (dispatched, receipt not confirmed) → 6. 🟡 SRF Commitment Missed (SRF TDS passed, not yet fully dispatched) → 7. ⚪ Tracking Data Not Available (not SRF, required date passed) → 8. 🟢 No Action. Cancelled lines show ⚫ Cancelled. The main table is sorted in this priority order.
